SharePoint User & Group Management — Simple Instructions Print

Below are two sets of instructions:

  1. Single-user sharing & membership control
  2. Group-based sharing & automatic membership setup

These instructions assume the person is a SharePoint Site Owner (not a global admin).


✅ 1. Single User, Owner, and Membership Sharing

A. Add a User to the Site (as Member, Visitor, or Owner)

  1. Go to your SharePoint site.
  2. Click Settings (⚙️)Site permissions.
  3. Select Invite people.
  4. Choose one:
    • Add members to group → Gives them editing rights.
    • Share site only → Gives them read-only access.
  5. Enter the user’s email address.
  6. Select the correct permission:
    • Owners → Full control
    • Members → Edit
    • Visitors → Read-only
  7. Click Add.

That’s it—user is now in the site’s built‑in SharePoint group.


B. Give a User Access to a Specific File or Folder

  1. Hover over the file or folder.
  2. Click the Share icon.
  3. Choose the link settings:
    • Specific people (recommended for control)
    • People with existing access
  4. Enter their email.
  5. Choose permissions:
    • Can view
    • Can edit
  6. Click Send.

Note: Sharing individual files does not add them as members of the Site.


C. Make Someone a Site Owner

  1. Go to Site permissions.
  2. Click Advanced permission settings.
  3. Open the Owners group.
  4. Click NewAdd users.
  5. Enter the person’s email and select Share.
